Instructions for authors

PURPOSE AND THEMATIC AREAS

The main purpose of Congress presentations (oral, poster, professional and video presentations, mini-symposiums and workshops) is to provide Congress participants with the possibility to share among each other and with the general public their lines of work and research within the field of Adapted Physical Activity and Sport. Thus, the Scientific Committee invites all participants to submit their abstracts to the European Congress of Adapted Physical Activity.

The organization of the Congress has established 4 thematic areas related to the main topic of the Congress: “Promoting inclusive sport & exercise opportunities for health and well-being”:

Thematic area 1 – Inclusive Physical Education

Thematic area 2 – Physical Activity and Exercise for Health and Well-being

Thematic area 3 – Social Values in Recreation, Leisure and Rehabilitation

Thematic area 4 – Excellence in Disability Sport

All abstracts accepted in the Congress will be published in a digital abstract book with its corresponding ISBN and Legal Deposit. Additionally, all the full articles submitted will go through peer review process and those accepted will be published in the digital Journal with ISBN/ISSN and Legal Deposit.

BOOK OF ABSTRACTS IN EUJAPA

All accepted abstracts will be published in the European Journal Of Adapted Physical Activity - EUJAPA

EUJAPA is the official journal of the European Federation of Adapted Physical Activity and is currently indexed in Scopus and DOAJ. There are no publishing or reading fees by authors or readers.

Please submit the abstract in the normal way through the conference system, and these abstracts will be transferred across to EUJAPA for publication. A separate process is carried out for publishing complete papers.

 

AWARDS FOR THE BEST ABSTRACTS PRESENTATION

Among the works that will apply to the best oral and poster presentations contest, winners will receive an official award and authors will be invited to submit their work to peer review process and if accepted publish it as a full article at the European Journal on Adapted Physical Activity (EUJAPA), official scientific journal of the European Federation on Adapted Physical Activity (EUFAPA).

a) The Scientific Committee will select the two best abstracts/works presented at the Congress, one in oral format and the other in poster format, regardless of the corresponding thematic area.

b) The Scientific Committee will take his decision during the development of the Congress, notifying the authors of the chosen abstracts/works of their awards, that will be delivered during the closing ceremony of the Congress.

c) In case of non-compliance with the minimum criteria for the scientific quality required in this type of awards, the Scientific Committee may declare the awards void in a specific category.

d) To be eligible for the awards competition, at least one of the authors must be registered in the Congress.

 

DRAFTING AND PRESENTATION OF ABSTRACTS

1) Guidelines to prepare the abstract:

a) All abstracts must be made submitted in the form defined by the Congress website, for each type of presentation.

b) Following the electronic window generated in the platform, authors will be asked to prepare an abstract with a maximum length 2000 characters, excluding title and affiliation, contain the following sections:

i. Title: The title must be brief and specific (maximum two lines). It should reflect the content of the presentation. Do not use abbreviations in the title. It will be written in the font defined in the template.

ii. Authors: Names and surnames will be written in lower case, except the first letter, following the usual scientific identification of the authors. Names between authors should be separated by commas.

iii. Affiliation: Indicate the University, Faculty or Department and Research Centre of the authors followed by the country. If there are several, you may use a superscript.

iv. Text: The maximum length of the text will be 2000 characters. It will be written in lower case, using the size and font provided by the template format in the webpage. Unexplained abbreviations should be avoided. The content of the abstract will be written without repeating the title of the work and according to the following sections (not mentioned): I. Introduction, II. Methods, III. Results, IV. Discussion and V. Conclusions.

v. Keywords: A maximum of four keywords must be indicated, that cannot be mentioned in title of the abstract. 

V. References: Use a maximum of three references in APA format (7th edition)

c) Information for the Scientific Committee:

i. The type of abstract presented must be indicated: oral, poster, professional and video presentations, mini-symposiums and workshops.

- The Scientific Committee reserves the right to choose the final presentation format according to quality criteria of the work and organization of the sessions.

ii. Thematic area: Sign the thematic area to which you are submitting your abstract.

iii. If you want to take part in the Abstracts Award Competition please fill the appropriate Box to apply.

iv. Correspondent author´s email: Write an email address for correspondence with the author responsible for the work.

 

2) Terms and way to submit the abstracts:

i. The Abstracts will be submitted in the Congress´s website in the Abstracts section.

ii. The deadline for submitting abstracts will be December 31, 2021.

iii. Notification of receipt: After completing the submission, authors will receive confirmation email certifying the submission of the abstract. If you do not receive it, please contact the Secretariat using the e-mail: eucapa2022@fcdef.uc.pt

iv. Notification of acceptance: Within a maximum period of one month from the deadline for abstracts submission, authors will receive, via e-mail, the final decision of the Scientific Committee on the acceptance or rejection of the papers presented as well as the presentation format.

 

3) Abstract acceptance conditions:

i. Papers must be original, unpublished and written in the Congress´s Official Language – English.

ii. For an accepted work to be definitively included in the congress program and published in the abstract book, at least one of the authors, i.e., the person who will be responsible for the presentation, must be register in the Congress with a Regular Registration. The presenting author must be the first author. For each abstract at least one Regular Registration must be completed (and not shared with another abstract, even if the presenter is the same).

iii. All papers received will be evaluated by the Scientific Committee that will decide if the abstract meets the sufficient conditions to be accepted and selected for presentation. Rejected abstracts will be returned to the author, indicating the reasons why his work has not been accepted and giving him/her a deadline to correct, if possible, the suggestions made.

iv. Each registered author (presenting author) may submit a maximum number of three abstracts including oral, poster and professional or video presentations categories. Additionally, presenting authors may also submit an additional abstract for mini-symposium or workshop presentation categories. The Scientific Committee may allocate the abstracts presented to the presentation format that considers most appropriate according to the type and/or content. Likewise, it may also reassign an abstract to another thematic area of ��the Congress based on its contents.

v. The organization of the Congress is not responsible for the content, data and opinions made by the authors during the presentation of their work, as well as hypothetical reactions of any of the Congress attendees.

 

4) Conditions of oral presentation format:

i. All authors must be in their presentation rooms 15 minutes before the beginning of the session and have their Powerpoint presentation in a pen drive and download it to the resident computer folder available with his/her name managed by the computer assistant in the room. 

ii. Each presenter will have 12 minutes strictly controlled for their presentation. After the established time, the microphone will be disconnected and three minutes will be available for questions. If the presentation lasts less than 12 minutes, the chair of the session may allow more than 3 minutes for questions, not exceeding a total time of 15 minutes per presentation. All authors should respect their available time.

 

5) Conditions of poster presentation format:

i. All authors must exhibit their poster on the identified area of the Congress, 10 minutes before the schedule defined in the programme for each poster sessions.

ii. Only posters with standard A0 format (118.9 x 84.1 cm) will be accepted for presentation. The posters must be fixed by the authors in the place indicated by the organization.

iii. At least one of the authors must remain close to the poster, to answer questions, during the time indicated by the organization, including those posters that are not competing for the Best Poster Award. For those under competition, they will have a maximum of 3 minutes for its presentation followed by a brief question period by the attendees or by the poster session moderator (scientific committee member) responsible for the assessment process. All authors should respect their available time.

 

6) Conditions for professional and video presentation format:

i. All authors must be in their presentation rooms 15 minutes before the beginning of the session and have their Powerpoint or video presentation in a pen drive and download it to the resident computer folder available with his/her name managed by the computer assistant in the room. 

ii. The chair should start the session on-time independently of the number of participants in the room to avoid delay.

ii. Each presenter will have 10 minutes strictly controlled for their presentation. After the established time, the microphone or the video will be disconnected and five minutes will be available for questions. If the presentation lasts less than 10 minutes, the chair of the session may allow more than 5 minutes for questions, not exceeding a total time of 15 minutes per professional or video presentation.

iii. Videos with more than 10 minutes length will be immediately refused for presentation. All authors should respect their available time.

 

7) Conditions for mini-symposium format:

i. All intervenient authors must be in the mini-symposium room 15 minutes before the beginning of the session and have their Powerpoint presentations in a pen drive and download them to the resident computer folder available with his/her name managed by the computer assistant in the room. 

ii. Each mini-symposium will include a set of three presentations followed by discussion about a specific relevant APA topic proposed by intervenient authors. The chair should start the session on-time independently of the number of attending participants in the room to avoid delay.

ii. Each one of the three mini-symposium presenters will have 15 minutes for their presentation. After the 3 presentations, there will be 15 minutes available for questions and discussion about the mini-symposium´s theme managed by the mini-symposium chair. All authors should respect their available time to stimulate discussion.

 

8) Conditions for workshop format:

i. All workshop authors must be in the sports hall/ fitness room 15 minutes before the beginning of the workshop, check the required material and organize the space and the materials to be used.

ii. The workshop authors should start the session on-time independently of the number of participants in the room to avoid delay.

iii. Each one of the workshop sessions will have a total duration of 60 minutes. Authors will be responsible to organize the different type of activities included in the workshop as well as possible outcomes and self-assessment if appropriate. All participants should respect their available time to stimulate inter action and discussion.

 

FULL MANUSCRIPT SUBMISSIONS
